Starting January 1, 2026, electronic invoicing via Peppol will become mandatory for all companies in Belgium that issue invoices between businesses and are registered for VAT.
This change is part of Belgium’s digitalization initiative to make invoicing faster, safer, and more transparent.
💡 What is Peppol?
Peppol (Pan-European Public Procurement Online) is a standardized network that allows companies and public institutions to exchange electronic documents (like invoices) securely and automatically.
Instead of sending invoices manually by email as PDFs, Peppol transmits structured invoice data directly between accounting or billing systems.
🔍 How it works
You issue an invoice to a business for a service or product sold.
Your system sends the invoice in a structured electronic format (UBL) through the Peppol network.
The recipient’s accounting software automatically receives and processes it, no email or PDF needed.
This ensures accuracy, speed, and compliance with EU and Belgian regulations.

👥 Who is affected?
The new rule applies to:
Businesses registered for VAT in Belgium
That issue Business to business invoices
If you’re using Salonkee and you invoice other companies (for example, corporate partners or professional clients), you’ll need to send those invoices via Peppol starting January 1, 2026.
⚠️ Who is not affected?
Invoices issued to private (non-business) customers are not impacted by this change. You can continue sending them as you do today.

The good news: Salonkee is taking care of the technical part for you.

⚙️ Important details
📤 Sending invoices
Salonkee will handle sending your invoices through Peppol directly from the Salonkee POS.
📥 Receiving invoices
Salonkee will not manage the reception of incoming invoices from your suppliers. Your company will still need to ensure that you can receive Peppol invoices in a compliant way.
💬 We recommend discussing this with your accountant or your current accounting software provider to ensure that you will be able to receive Peppol e-invoices starting january.
🧾 Peppol invoice format
Peppol uses the Universal Business Language (UBL), an XML-based international standard that defines how invoice data is structured and transmitted.
This format ensures that:
The invoice content is machine-readable (not just a visual PDF)
Every data field (amount, VAT, client info, etc.) can be processed automatically by accounting software
In Belgium, the UBL-BE (Belgian version) of Peppol is used.

Peppol operates through certified Access Points, they are trusted providers that securely connect senders and receivers. Each message is encrypted, traceable, and verified before delivery.
This guarantees document authenticity and helps prevent invoice fraud.
