How to define or redefine schedules per employee with Salonkee?

Define or redefine your employees' schedules from a certain date with ease.

In this article, concerning the definition of schedules by employee, we will explain two distinct scenarios:

Procedure - Creating basic work hours (regular employee schedule)

To set regular working hours, you must:

  • Open “My Salon”;

  • Click on “Employee Management”;

  • In the row of the employee in question, click on the start date of work (you can modify and navigate at the week level using the arrows at the top right of the screen);

  • Now click on “Start a new weekly schedule”;

  • Indicate here how the person will work from the date in question (here as an example, from 3 Jan 2024) and add lunch breaks if desired;

  • Click "Confirm" to complete the operation

IMPORTANT: If your employee needs to change their schedule from a certain date in the future, you must click on the start date of the schedule change and proceed in exactly the same way as explained above.

The day on which the employee starts working at the newly defined hours will be visible by a small purple arrow to the left of the block like this:

Note that these times will define availability at the calendar level (the white and grey spaces in the calendar).

Procedure - Modify an individual schedule

Example : An employee does not normally work on Wednesdays. That said, on a very specific Wednesday, you want this employee to be available.

In this scenario, you have two choices:

  • Make the change from the employee file (same table as explained in the first part of this article)

  • Make the change from the calendar directly.

1. Modify schedules from the employee file

Please follow the following steps:

  • In “My Salon”;

  • Open the “Employee Management” section;

  • In the line for the employee in question, click on the date for which you exceptionally want to modify the schedule;

  • Then click on "Adjust individual dates";

  • Indicate the new schedule first;

  • Then select the frequency:

  • You have four choices: change the schedules only for the day in question (first point), repeat it over several weeks (second point), modify a series of days at the same time (third point), or change their schedule for very specific days (fourth point).

  • The second point is very practical for setting up weeks with a flexible schedule (week type with "A" schedule and weeks with "B" schedules).   • The third point is more suitable if it is an occasional change but over several days in a row;

  • The fourth point is more suitable if the employee has a specific work schedule for very specific dates.

  • Click “Confirm” to finalise the operation.

2. Edit a schedule directly from the calendar

We recommend using this method only if you want to change the schedule for a single day . For any other scenario, use the method explained in the first point instead.

In this case, simply slide the gray areas up or down to open or close a day as shown in this video:

You can also use this function to block an entire day if one of your employees is specifically absent that day - for instance if they are sick.

In both cases, the fact of having changed the schedule occasionally will be represented by a blue area on the employee file (instead of the green colour which it is for basic schedules):
