How do I add an employee absence to the Salonkee diary?

It's easy to enter absences (holiday, break, illness, etc.).

Prerequisite

Do you want to enter a block in the diary that is not a customer appointment? Whether it's holiday, sickness, breaks or training, it's possible.

You have two options for entering absences in your Salonkee diary:

Entering absences directly from the diary

Entering absences directly from the employee file in the settings.

Procedure - Entering absences from the diary

To enter an absence from the calendar, please follow the steps below:

Start by clicking on the date on which the absence or the start of the absence is to be entered;

Then, as for entering an appointment, double-click (PC) or drag the green "+" (Smartphone/Tablet) in the column of the employee to whom you are going to grant leave;

The time at which you release the green "+" (Smartphone/Tablet) or double-click (PC) is irrelevant if you intend to block the whole day. If you only want to block part of the day (afternoon leave, for example), then make sure you release the green "+" (Smartphone/Tablet) or double-click (PC) at the time you want the leave to start.

A window will then open (as for appointments);

Now click on "Block" in the top right-hand corner (see red arrow in the image below);

  1. Then start by entering the reason for the absence. You have three choices of absence: Break, present at the show but can't work (training), absent from the show (holiday, illness, etc.);

  2. Now define the duration of the absence - first decide whether it is an absence for the day in question or whether it is an absence over several days (in which case you should select "X days"); ^.

  3. Very important: if it's an absence for the whole day, the little box "Full day" must be selected - Otherwise, if it's not for the whole day, simply slide the little ball from the left to the right to define the exact duration of the absence.

  4. Finally, click on "Block" in the bottom right-hand corner to complete the operation.

Attached is a video showing an example (Ana has a week's leave in the week of 20 April 2020):

To delete a block, simply click on the block in question from the calendar and then click on the little bin at the bottom left of the window.

If you want to delete several blocks at the same time, click on block number 1 (you can see it at the bottom left of each block) and click on the small basket at the bottom left and delete this block + all future blocks.

Procedure - Entering absences from the employee file

  • Open "My Salon";

  • Click on "Employee";

  • In the line for the employee in question, click on the absence start date (you can change and navigate through the weeks using the arrows at the top right of the screen);

  • Now click "Block days";

  • As with the first part, start by indicating the 'cause' of the absence:

  • You have three choices: enter an absence only for the day in question (first point), make this absence recurrent over several weeks (second point) or modify a series of days at the same time (third point).

  • The second point is often used to set up parental leave, for example (absent every Friday for 6 weeks);

  • The third point is often used to set up leave over several days;

  • Click on "Block" to complete the operation.

In both procedures (adding an absence directly in the diary or via the employee file), the absence will be represented by a coloured area in the employee file (other than the green colour which is for basic schedules):
