❗️1. Prerequisite:
Before you begin, make sure that the boxes under the Newsletters section are checked at the bottom of the client profile.
If these boxes are not checked, it will not be possible to select the client when creating email or SMS campaigns.
👉 Warning: Only check these boxes if the client has genuinely given their consent as required by GDPR law (https://eur-lex.europa.eu/legal-content/FR/TXT/HTML/?uri=CELEX:32016R0679).
📣 2. General Procedure for Creating a Campaign
After verifying that the consent boxes are properly checked in your client files, you can create two types of campaigns: Email or SMS.
Regardless of the campaign type, the first steps are exactly the same:
Click on Campaigns at the top of the page.
Next, you will find Newsletters on the right side.
On this page, you can view all previously sent campaigns as well as your drafts.
To launch a new campaign, click the + New button located at the top right.
Select the campaign objective (Marketing or Service) and the channel (SMS or Email), then click Continue.
Service Campaign: Used to send non-commercial information (e.g., an exceptional closure) to your entire database.
Marketing Campaign: Aimed exclusively at clients who have agreed to receive your communications.
For an SMS campaign: Give your campaign a name and click "Créer la campagne" (Create campaign).
For an Email campaign: Follow the same process, but also define the email subject line that will be visible to your clients.
✉️ 3. Creating an Email Campaign
After clicking "Continue", you will land on the email creation page.
👉 3.1 SELECT AN EMAIL TEMPLATE
You can choose between several base templates under Salonkee templates or use a saved template from a previous campaign under My templates
A drop-down menu allows you to manage your templates:
Make a copy
Rename and change category
Share (salon groups only)
Delete
✍️ 3.2 EDIT EMAIL CONTENT
You can add Content (columns, text, images, buttons, video, timers, or dividers) simply by dragging and dropping your choice into the email layout.
Click on Blocks on your right to add structural layout dividers (columns) by dragging them directly into the email.
Click on Body on the right to change more general variables, such as the email background color
After dragging the necessary content into your email, you can click on any block to edit it:
For text, click on the block in the email and write whatever you wish. You can modify the text color and size using the panel on the right
For photos, you can choose files from your computer or use web links.
For buttons, you can choose how your button behaves, such as:
Open Website: Directly leads clients to a website page. This is ideal for sending them straight to your online booking page.
Send Email: Automatically opens a pre-addressed email window, allowing clients to send your salon an email.
Call Phone Number: Perfect for mobile readers, tapping the button allows clients to call your salon line instantly.
To find a redirection link or an active promo code within your Salonkee system, you can use the Smart links. It allows you to easily find a booking link for a specific service or an active promo code. Adding a Call-to-Action (CTA) button gives your email a clear purpose. It visually guides customers to exactly what they are meant to do - book an appointment - which removes all guesswork and directly increases your booking rates.
If you want to save the email as a draft to work on it later, simply click Save draft.
If your email is ready to go, click Continue in the bottom right corner.
💬 3.3 MULTI-LANGUAGE EMAIL
The system will offer to add translations so you can send your campaign in each client's preferred language (as set in their client file)
After selecting the languages and clicking IA Translation, the system will generate the different translations, which you can then modify as you please.
👥 3.4 CHOOSING WHO YOU ARE SENDING THE EMAIL TO
You can generate a list of clients to receive the campaign using our various filtering methods
Method #1 - Filter with AI:
Allows you to filter your audience with ease. Simply describe your ideal audience in natural language, and our AI agent will automatically configure the correct conditions for you.
Example: Type "Clients who have not booked a haircut in the last 3 months" and let the AI do the heavy lifting
Method #2 - Use conditions:
Allows you to build your audience manually from scratch using filters
Method #3 - Use a saved group:
Allows you to use an audience segment that you have previously saved
Method #4 - Specific clients:
Allows you to define an audience by manually selecting individual clients.
❗️Important Info: You can also select your entire client list by clicking directly on the All clients method.
Once the list is generated, you can remove clients one by one using the Exclude recipients filter.
You can view the total number of selected clients in the top left corner of the page
👀 3.5 PREVIEWING AND SENDING THE EMAIL
Clicking Continue in the bottom right allows you to perform a final check of your email and send a test message to see how it looks in your own inbox.
Just enter the email address for the test and click Send.
Once your newsletter is fully ready, click Send
The system will then ask if you want to save your template for future use. Checking the Share this template box allows you to share it with all salons in your group (salon groups only)
💬 4. Creating an SMS Campaign
After selecting your campaign objective (Marketing or Service) and naming your campaign, you can create your text message and see the real-time layout in the phone preview window.
Below the text box, the system displays a summary of the shipment, including:
The number of characters in the SMS.
The total SMS count making up the message.
The cost per individual SMS, which varies according to your contract.
This total amount will simply be added to your next invoice.
💡Attention :
Avoid using special characters like "ç". The system will alert you if such characters are used. These characters require special encoding and can count as 2 or 3 characters, even though they look like a single letter.
We strongly recommend not exceeding 160 characters, which corresponds to the maximum character limit for a single SMS. Beyond this, each additional block of 160 characters will be billed as an extra SMS.
When the SMS is ready, click Continue in the bottom right
The system will offer to add translations using IA Translation based on the client's preferred language
After selecting the languages and clicking on AI Translation, the system will generate the different translations, which you can then modify as you please.
By clicking on Continue located at the bottom right of the screen, you can perform a final check of your SMS and send a test to view how it looks on your phone
Warning: once the SMS is sent, it is no longer possible to go back.
If you want to save the email as a draft to work on it later and send it at a later time, then click on Save draft.
You can find the current campaign on the first page as a Draft by clicking on the Newsletter menu.
3. 📈 Campaign dashboard
After sending your newsletter, you can view its campaign report by clicking directly on it in the Sent section.
You can quickly view and filter the list of sent emails or SMS messages based on their delivery status:
Sent
Opened (email only)
Unread (email only)
Booked / Reserved
Undelivered
5.1 💰 ESTIMATED REVENUE
When a client schedules an appointment after receiving a newsletter, an estimate of the generated revenue is automatically displayed next to the delivery status. You can view this figure directly on the main campaigns page or by clicking into a specific campaign report, making it a valuable tool to identify which campaigns drive the best results.
You can also find the total revenue that all your campaigns have generated at the bottom of your list of campaigns.
